This page allows you to record the amount of stock held by your company.
Get to this page via Home Page > Inventory > Stocktake > New Stocktake
Search for an Item
Find the item for which you would like to check the stock count for. Use the search by function to find by status, name, code, barcode, SKU, or brand.
Once you have selected the search by type, use the search bar to enter the data you wish to find relevant to the search by criteria.
Tap the column header icons and select how the items will be filtered, allowing for a personalised stocktake page.
Tap the Show All button to reset the Show, Show Status and Search Bar filtering and view all trackable inventory items for the selected location.
Tap ‘Scan Barcode’ to launch the camera and search for an item by scanning its barcode.
Add Stocktake Item Count
Once you have located your item, use the field titled ‘Counted Qty’ to enter the true quantity (e.g. 5).
The item will then appear under stocktake items counted located to the right had side of the screen showing the variance in item quantity under the column heading Difference.
Tap the downwards facing arrows icon to decrease the size of the stocktake items page and reveal the stocktake information.
To increase the stocktake items page, tap the upwards facing arrows icon. As soon as you enter a stocktake quantity the stocktake items page will automatically move up for convenience of viewing.
Use this field to enter a name for this stocktake (e.g. Brand Shoes).
Dates and Times
For Stocktake you will have two sets of times and dates registered in the system. One is the Performed Date and Time and the other is the Transaction Date and Time
Performed Date and Time
This refers to when the stocktake physically happened (e.g. If the stocktake was carried out a few days ago).
Transaction Date and Time
This refers to when the stocktake is registered as completed into the system. This will appear in the item stock activity.
Tap and select, from a preset list, at what location the stocktake is to be performed (e.g. Warehouse, Store Room, etc…).
You can add a custom reference for each stocktake as an organisational aid.
Use this field to add any extra information relevant to the stocktake.
Hold and Complete
Tapping the ‘Hold’ button will save the stocktake as incomplete on the system server, enabling you to continue with the stocktake from any device at anytime.
This can be done by swiping to the left and selecting the delete button. If you miscount you should do the same.
If for any reason your stocktake was interrupted or accidentally closed, the auto-recovery system will save the stocktake, enabling you to resume where you left off.
Tapping ‘Complete’ will save the stocktake. This will have an effect on your accounts and inventory stock count (e.g. If you have an item with a value of £100 per box and your counted quantity is 5 boxes less that the expected quantity, this will result in a loss of £500 from your expenses account). Should there be any discrepancy in item quantities you should be sure of your count before selecting Complete.
