Create Print Templates

Print Templates

You can create a variety of custom print templates for receipts, lists, specific details and more, with the ability to have a dedicated template for every module and section (e.g. POS receipts, customer details, end of day reports, staff account activity, etc.). Every new app is preset with default templates for each module.

The concept of template customisation is not limited to printing, as you may design templates for Gift Cards, Punch Cards, and Homepage Slides, all of which are created under the same user-interface and in the same way as print template. This page will give you an understanding behind the concept of template creation.

POS Receipt Template

Receipt templates are used to print a customer order or bill, a printed statement acknowledging that something has been paid for or that goods have been received.

To begin creating a new template, tap on the New Template button.

Get to the page below via Homepage > Settings > POS > Print Templates

Print TemplatesPrint Templates

A pop-up page will appear, enabling you to create a new receipt template.

Tip
The default template will be loaded when creating a new one, giving you something to work off of, instead of creating an entirely new template from scratch.

Template Name

Give your template a unique name to distinguish it from others in the list of templates (e.g. POS Receipt Template, Chef Receipt, Delivery Receipt, etc.).

Print TemplatesTint Print TemplatesPrint Templates

Active Status

Choose whether or not this template is active. If "No" is selected, the template will not appear as a selectable template option when attempting to print.

Print Paper Size

Select the paper size for which your template is designed.

Caution
When attempting choose the printer and template in order to print something (e.g. POS receipt, list of customer, end of day report, etc.), only the templates of matching paper size to the printer selected will appear. For example, if a Star receipt printer (which strictly use small receipt paper rolls) is selected, all templates which have anything other than "Receipt" for the print paper size will be hidden in the list of selectable options.

Add a Variable Image

An image variable may be best described as an area within the template which is reserved for an image which may be subject to change.

For example, a template to print inventory item information should be able to print the image of each item. Adding an image variable will designate an area on the template to print that item’s image, as opposed to having to use one image for all items, or having to create a template for every item in your inventory so each can have its own image.

Print TemplatesTint Print TemplatesPrint Templates

After selecting the area for which you wish to add the image variable to (e.g. Header), an image icon will be added to the template.

Print TemplatesTint Print TemplatesPrint Templates

Tapping this newly added icon will launch a pop-up window displaying options for the image.

The process of adding an image variable is very similar to that of adding a normal image, albeit with some extra options.

Print Templates

Variable

Use this field to select which image variable you want connected to this area of the template (e.g. Business Logo, Customer Photo, Item Image, etc.).

If the variable has no image to pull, the space designated to it when printed will remain empty (e.g. If "Business Logo" is selected as the variable, but you have no business logo, that area of the printout will be blank).

Connecting Variable

You can connect text to a text variable. Variables change depending on the information provided whereas normal text does not.

As an example, let’s add "Discount" as normal text to the left side of the template, and add the "Discount" text variable to the right side of the template. If these two are not connected, the text on the left side of a printed receipt will remain, even if no discount was given.

The purpose of this option was to allow users to hide text when the value of its connecting variable is zero. (e.g. If you connected the "Discount" text to the "Discount" text variable, and no discount was given, the normal text will not be printed on the receipt).

Text Variable

A text variable may be described as an area within the template which is reserved for text that’s subject to change.

For example, a template that prints the name of the customer who is purchasing items should be able to print the individual name of each customer. Adding the "Customer Name" text variable will designate an area on the template to print the name of the customer buying items, as opposed to creating a template to cover every name.

After selecting the area for which you wish to add the text variable to (e.g. Header), a text variable field will be added to the template.

Print TemplatesPrint Templates

Hide When Empty

Choose whether or not the variable is hidden when the value is nil when printed (i.e. zero or when there is no information to show).

Tip
For example, if "No" was selected, and if the text variable was "Discount", and no discount was given, then "£0.00" would be printed on the receipt. If "Yes" was selected, nothing would be printed on the receipt in the text variable field.

Line

Customisable lines may be added to all templates. Possible uses include separating or breaking up text in order to make the template easier to read.

Barcode

A variety of barcodes may be added to templates. These barcodes act as variables and are unique, dependant on the information they represent.

For example, a barcode with the "Customer ID" variable may be selected. Once printed, you may simply scan the barcode to bring up that customer’s profile.

After selecting the area for which you wish to add the barcode to (e.g. Header), a barcode will be added to the template.
